At Ai Media Wave, we value transparency in every aspect of our client relationships — including how projects and subscriptions are managed when circumstances change. This policy outlines the terms and conditions that govern the cancellation of any service, project, or subscription you have entered into with us.

We provide digital services including custom web development, Shopify development, WordPress development, AI chatbot development, SEO and digital marketing, and website management and maintenance. Because all our services are digital and project-based, this cancellation policy reflects the practical realities of knowledge work and team resource allocation.

1. How to Cancel

To initiate a cancellation, send a written notice to us at contact@aimediawave.com from the email address associated with your project or account. Please include your project name, the service you wish to cancel, and the reason for cancellation. We will acknowledge your request within 2 business days.

2. Cancellation of One-Time Projects

One-time projects include website builds, app development engagements, Shopify store setups, and similar scoped deliverables.

• Before Work Commences: If you cancel before the project kickoff and before any discovery, design, or development work has begun, you are entitled to a full refund, less any non-refundable costs already incurred on your behalf (such as third-party tool licences, domain registrations, or stock asset purchases).
• After Work Has Commenced: Once a project has entered the discovery, design, or development phase, a cancellation fee will apply. This fee is proportional to the work completed at the time of cancellation and covers team hours logged, deliverables produced, and non-refundable third-party expenses. We will provide you with an itemised breakdown of the work completed and the corresponding fee.

3. Cancellation of Subscriptions and Retainers

Subscriptions and retainers include monthly website management plans, SEO retainers, AI chatbot maintenance contracts, and similar recurring services.

• Notice Period: Unless your individual service agreement specifies otherwise, subscriptions may be cancelled with a minimum of 30 days' written notice.
• Service Continuity: Your service will continue without interruption until the end of the current paid billing cycle. No partial-month refunds are provided for unused days after the final billing period has commenced.
• Data and Access: Upon cancellation, we will assist you with transferring access credentials, assets, and documentation related to your account within 14 business days of the service end date.

4. Cancellation by Ai Media Wave

Ai Media Wave reserves the right to cancel or suspend services under the following circumstances:

• Payment is not received in accordance with the agreed payment schedule.
• The client engages in activities that violate our Terms and Conditions, including misuse of our platforms or services.
• The project scope changes so significantly beyond what was originally agreed that delivery is no longer feasible within the contracted terms.
• A force majeure event or circumstances outside our reasonable control prevent delivery.

In the event we initiate a cancellation, you will receive at least 14 days' written notice where possible, and a prorated refund for any prepaid services not yet delivered.

5. Refunds Upon Cancellation

Any refunds applicable due to cancellation will be processed in accordance with our Refund Policy. Refunds are issued via the original payment method — either Razorpay or Stripe — and are subject to the standard processing timelines of those payment platforms (typically 5–10 business days).
